Reports to: Head of Administration & Procurement Division

Location: Tirana

Job Description:
The Receptionist is responsible for managing front-desk operations and serving as the first point of contact for clients and visitors within the bank. The role includes welcoming customers, handling incoming calls and correspondence, scheduling appointments, supporting administrative tasks, maintaining accurate records, and ensuring a professional and customer-focused environment. The Receptionist collaborates closely with branch staff to support smooth daily operations while maintaining confidentiality and high service standards.

Main Responsibilities:

  • Welcomes the customers and related parties, provides them with the necessary information on their requests.
  • Addresses properly to the bank employees all the requests for meeting from the third parties.
  • Receives and answer to all the telephone enquiries and transfers them accordingly to officers after notifying them properly.
  • Receives messages/correspondence (through telephone, e-mails, courier, etc.) from clients or other parties and transfers them accordingly to Bank’s officers.
  • Transfers the correspondence received through e-mail to the proper destination as per other units’ request.
  • Administrates and maintains correct data for the incoming correspondence and delivers it to the protocol.
  • Administrates and maintains correct data for the outgoing correspondence and delivers it to the proper destination.
  • Follows and applies the rules and regulations, as well as the Code of Ethic, defined in the Bank’s manuals.
  • Keeps the confidentiality and all data and information received by the customers as well as the electronically administered data.
  • Performs other tasks assigned from the respective supervisor.
     

Formal criteria:

  • Very good Computer skills;
  • Very good written and spoken English;
  • Previous experience in a Receptionist, Front Desk, Customer Service or Administrative Support role, preferably within the banking, financial services, or hospitality industry;
  • Very good communication and interpersonal skills;
  • Ability to work under pressure;
  • Time management and organizational skills.
